WHPOA ANNUAL MEETING MAY 3, 2016 @ 6PM Harbour Town Pizza King In attendance were seventeen (17) homeowners and the POA Property Manager, Kevin Schwarz. A quorum was met and election of the Board of Directors took place. 2016 Board of Directors Jan Helms Greg Powell Bob Billingham 2016 WHPOA Board President:​ Greg Powell​ Vice President​: Bob Billingham Secretary:​ OPEN Treasurer: ​ Carrie Rayls Katie Clark will retain her position as Commons Director. BUDGET 2016 Kevin Schwarz discussed and stated that the association is currently under budget. Combining management company and pool company saved money overall. 2015 Fiscal Year: $8,000 under budget Special Assessment Update: $200 was decided on by the Board of Directors. If the reserve fund would have been used, it would have been depleted. Kevin stated that the community is too small to have a low reserve, particularly in case of unforeseen repairs in the future regarding the pool. A half dozen areas on the pool surface, ranging from two (2) to six (6) feet wide, had to be cut out and repaired. This does not add any additional cost to the repairs. Dues/Special Assessment: Homeowner’s have made payment arrangements and collections are going well. POOL UPDATE The BOD decided to reduced guard hours to 12PM – 6PM. As the guards will not be present during the entire hours the pool is open, it is hoped that residents will be aware and self-policing will be used. Guards will be available for pool parties. WEST HARBOUR’S POOL SEASON Saturday, May 28 thru September 5th (Labor Day) 10AM — 9PM (Non-School Days) 3PM — 8PM (School Days) Pool Parties: Contact Aquatic Management, seven (7) days prior New Electronic Card System: Residences will be using a new card system rather than key fobs; the old system was not working correctly and needed a complete overhaul. The new system uses the internet and will give the time of residents entrance, and allow us to run reports on peak hours, usage, etc. The first bid came in to replace the old system at less than $1,500 and is a substantial cost savings compared to repairing the old system. If POA assessment is paid or if the homeowner is on a payment plan, the card will work for access to the pool, which is monitored by Ardsley Management. The Summer Bash will take place on Friday, July 15, 2016from 6PM-10PM. The DJ has been booked. Neighbors are asked to bring a side item to share. Do you have a home-based business? VIOLATIONS Kevin encourages everyone to call him regarding any violation letters that they may have received with questions or if time is needed to complete major repairs. Currently, there were sixty (60) sixty violation letters sent out in the last 30 days. Residents are encouraged to contact the police, if they see open doors on properties or on houses that are currently under default. In general, the mortgage companies are responsible for seeing that the property (foreclosed) is secure. The WHPOA can go in and cut grass, trim bushes, etc., if deemed an eyesore on these properties. NOBLESVILLE BOARD OF WORKS MEETING TUESDAY, MAY 10, 2016 RE: House on Buttonwood Drive Neighbors and Interested Parties: May 10, 2016 at 9 AM in the Noblesville Board of Works will conduct a hearing concerning the dilapidated property on Buttonwood Drive, all interested parties should attend. Meetings are held at City Hall on the second floor in the Council Chambers 16 S 10th St in Noblesville. Adjourned: 6:50PM
