2011 Annual Meeting Minutes

Present:  Jan Helms, Jeannie Snay, Shannon Bassett, Shelli Sohler, Dave Harp, Jen Dotzert

Review of late dues. Many families have set up payment arrangements. As long as payments are up-to-date, the family can continue to use the pool.  If no payments or arrangements have been made, the family will not be allowed to use the pool.

Board of Directors ran uncontested and will remain the same for the next year. We are still looking for a treasurer.  Jeannie Snay will take on treasurer responsiblities until a permanent treasuer is found.

At the present time, we have 7 lifeguards.  Pool hours will be 11-8 Memorial DayWeekend. There will be shortened pool hours until school is out.  Summer pool hours will be finalized after lifeguard meeting.  Pool party contract will be posted on the web site.

Homeowners are encouraged to contact police if there are incidents with their dogs (i.e. bites, noise, etc.).  The board cannot address such homeowner complaints.  In addition, home upkeep (lawn mowing, weeds, trash receptacle placement) was discussed.

3/23/2011 WHPOA Board Meeting Minutes

Present: Jan Helms , Jeannie Snay, Joanna Post, Shannon Bassett, Christine Earley, Rachel Purciful, Shelli Stohler, Brian Snay

Treasurer:  Twenty-seven letters went out for residents who have not paid dues as of this date.  Late fees have been added at this point.  Residents who are experiencing difficulty paying their dues are encouraged to contact Rachel Purciful to make payment arrangements.  Treasurer position on the board will be opening up in May.

Pool: Megan Oiler will be returning this summer as head lifeguard through then end of July.  The pool company will begin opening the pool one week prior to the official open date so that everything is ready to go.  Palmetto Bay will also open and clean bathrooms, and clean lounge chairs. We will be ordering replacement filters for pool early in the season as prices will go up in June.

Commons: The city will no longer charge a fee for garage sale sign permits.  Joanna gathered information for deluxe board signs with interchangeable letters to utilize for neighborhood events.

Event Dates:

(All events are for West Harbour Residents current on dues or payment arrangements.)

Spring Garage Sales :  April 28-30th

Easter Egg Hunt : Sunday, April 17th

Spring Clean Up: Saturday, May 14th

Landscape Solutions will be donating the mulch as they have in the past.

Summer Bash: Saturday, July 23


Entrance signs: We are still looking for residents who would be interested in serving on a committee dedicated to the purchase of new entrance signs.

2/2/2011 WHPOA Board Meeting Minutes

Present: Jan Helms (President), Jeannie Snay (Vice President), Joanna Post (Commons Director), Shannon Bassett (Secretary), Christine Early (newsletter), Marsha and Dan Schneider (residents)

Treasurer: The 2010 budget was reviewed. Most items came in at or below budget. Copies of the 2010 and 2011 budgets were sent out with dues letters.

Pool: We will continue with the previous pool company and ask that they begin pool opening procedure a week earlier than our scheduled open date so that we will be ready to open. We are still looking for someone who might be interested in filling the position of Pool Liason. If you are interested, please contact a board member. The tentative open date for the pool witll be Memorial Day Weekend.

Commons: Lawn care will be continued with Landscape Solutions for the next 2 years at the same price as our last contract. Upcoming Spring/Summer events were discussed. Joanna will look at her calendar to put together a tentative schedule. We are anticipating continuing with the Spring Clean-up, Spring Garage Sales, Easter Egg Hunt, and Summer Bash. Final dates have not been decided. We are considering not having the Tween Party as the turn out was not very good.

Entrance signs: Discussion continues regarding entrance signs. Information has been gathered from several different sign companies as well as the kinds of restrictions we might face from the city/county. A committee is being formed so that residents may take a more active role in the process. If you are interested in being involved in the committee contact a board memeber.

8/4/2010 WHPOA Board Meeting Minutes

Present: Jan Helms (President), Jeannie Snay (Vice President), Rachel Purciful (Treasurer), Joanna Post (Commons Director), Shannon Bassett (Secretary)

Treasurer: The budget was reviewed. We are on budget with most items and do have the money to cover the cost of a new pool cover. Still working with several residents to develop payment plans for dues.

Pool: At this point, the closing date for the pool is open-ended. There are a few lifeguards who are willing to work after school hours so that the pool may be open weekday evenings until 8pm. Weekend hours will remain the same. There has been no new developments with concerns to the locks on the poolhouse. Pricing for rekeying the locks versus having the locks changed will be compared. New pool cover will be ordered and installed at the end of this pool season.

Commons: Discussed Summer Bash and possible ideas for next year. We stayed very close to budget for all the items involved. The idea of raffling off free dues at the party was suggested, as well as having some get to know you games to get the residents interacting. Fall garage sale date will be determined in the near future.

Other items: Quotes will be solicited to see what it might cost to replace bridge. For now, boards will be replaced. The idea of a fall cleanup was discussed.

5/3/2010 Annual Board Meeting Minutes

Present:  Gilad Langer, Dave Harp, Shelli Stohler, Christel Langer, Jeannie Snay, Brian Snay, Rachel Purciful, Dan Schneider, Marsha Schneider, Joanna Post

The new Board of Directors were elected:  Jan Helms, Jeannie Snay and Shelli Stohler

There were 6 in person votes and 7 proxy votes to elect this board.

The Board of Directors will fill the WHPOA board at a later date.

Treasurer:  The budget was reviewed.  There was a discussion about the bathroom renovations and play set financing.

Pool:  The water in the pool house needs to be turned on.  Don needs to be contacted to make sure we are on track for opening day.  Five guards are hired for this year.  Guard training will take place on May 22.  A new pad lock is needed for the pool.

Jeannie Snay will be the new Pool Party Coordinator.

Commons:  Thanks to the homeowners who showed up for Spring Clean Up!  The W.H. II sign still needs work.  We had to pay a $50.00 garage sale sign fee.  We are looking to find ways around this fee next year.
